# How to Find and Merge Duplicate Records in HubSpot

HubSpot Implementation · 8 min read

Duplicate records leave your team working from incomplete customer histories. Sales reps can contact the same person twice, workflows can run on both records, and reports can overstate your contact counts or pipeline. Resolving duplicates gives your team a clearer view of each relationship.

![Blog header 1536x1024@1x (1)](https://unleashtechworx.com/hs-fs/hubfs/Blog%20header%201536x1024@1x%20(1).png?width=1536&height=1024&name=Blog%20header%201536x1024@1x%20(1).png)

To merge a known pair in HubSpot, open the record you want to keep, select Actions, then Merge, find the duplicate, review the property values, and confirm. To find suggested contact and company duplicates, use Manage duplicates. Deals need a separate manual review.

Use the Diagnose, Design and Build, Optimize approach from [Unleash Tech Worx’s implementation process](https://unleashtechworx.com/en/unleash-blogs/the-hubspot-implementation-process-explained-diagnose-design-build-optimize): identify the source, merge carefully, and fix the process that created the duplicates.

## How HubSpot Detects Duplicate Records

HubSpot uses email addresses to identify duplicate contacts and company domains to identify duplicate companies in supported creation flows. These checks do not work identically across manual creation, forms, imports, and integrations.

- **Contacts:** Two email addresses belonging to the same person can create two separate contacts.
- **Companies:** Missing or different domains can prevent records from matching. Companies created through the API are not automatically deduplicated by domain alone.
- **Deals:** HubSpot does not automatically identify duplicate opportunities through Manage duplicates.

Manage duplicates suggests contact and company pairs using several properties, rather than relying only on an exact email or domain match. A suggestion is a reason to investigate, not proof that two records represent the same customer. See HubSpot’s [duplicate-management documentation](https://knowledge.hubspot.com/records/manage-duplicate-records) for detection criteria and available controls.

## Before You Merge: A Safety Checklist

A HubSpot merge is irreversible, so confirm the records represent the same person, company, or opportunity before proceeding. Similar names alone are not enough.

- **Export a reference snapshot.** Include Record IDs and the property values you need to compare. An export is not a reversible backup and does not recreate the original activity history.
- **Choose the primary record deliberately.** Check the owner, email or domain, active opportunities, integration links, and customer history.
- **Inspect associations.** Confirm that bringing contacts, companies, deals, and tickets together will not combine unrelated relationships.
- **Review active processes.** Check workflows, outreach, and external integrations that depend on either record.
- **Confirm access.** You need permission to merge records. Manage duplicates also requires data-quality access and the relevant record-edit permissions.

Do not merge a contact during an active HubSpot call: merging can disconnect the call. For a larger clean-up, agree on the winning-record criteria with the people who own the data before starting, as part of your [CRM diagnosis and design process](https://unleashtechworx.com/en/unleash-blogs/the-hubspot-implementation-process-explained-diagnose-design-build-optimize).

## How to Find and Merge Duplicate Contacts

You can merge contacts from a suggested duplicate pair or directly from a contact record when you already know which two records belong together.

### 1. Open the Contact Duplicate Queue

Go to CRM → Contacts. Click the three-dot menu in the upper right and select **Manage duplicates**. Reviewing suggested pairs requires an eligible Professional or Enterprise subscription. Manual merging from an individual record is available across plans.

Use the available filters to narrow the queue into manageable batches. Review records by owner or another relevant criterion so the person assessing each pair understands the customer relationship.

### 2. Compare the Suggested Records

Click Review beside a pair and compare the two contacts. Check names, email addresses, company relationships, ownership, and recent activity. Two employees at the same business are not duplicates just because they share a phone number.

Keep the record that should represent the ongoing relationship as primary. Pay particular attention to an existing Salesforce sync or other integration dependency.

### 3. Select Values and Confirm the Merge

Select the property values you want to retain, then click **Merge and review next**. The primary record’s values generally take precedence, but some properties follow special merge rules.

If the records represent different people, click **Reject and review next**. A rejected suggestion can be reconsidered; a confirmed merge cannot be undone.

### Alternative: Merge a Known Contact Pair

Open the contact you intend to keep and select **Actions → Merge**. Search for the secondary contact, review the records and property values, then click **Merge**.

This route is useful when your team has already identified the duplicate. You do not need to wait for the duplicate manager to suggest the pair.

### For Larger Batches: Review Your Bulk Merge Criteria

Data Hub Professional or Enterprise supports bulk duplicate management. Select the relevant pairs, review them, choose a supported winning-record criterion, and confirm the bulk action.

Bulk merging is a user-initiated action, not automatic background merging. Spot-check the pairs and confirm that the same winning-record criterion is appropriate across the batch.

## How to Merge Duplicate Companies and Deals

### Merge Duplicate Companies

Company merging follows the same process as contacts:

1. Go to **CRM → Companies** and open **Manage duplicates** from the three-dot menu. For a known pair, open the primary company and select **Actions → Merge**.
2. Review domains, associated records, and integration links. Choose the primary company and the property values to retain, then confirm the merge.

The primary domain stays; the secondary domain becomes an additional domain. Keep distinct parent and subsidiary companies separate, and check any Salesforce sync restrictions first.

### Merge Duplicate Deals

Manage duplicates does not cover deals. Review likely matches manually:

1. Compare deal name, associated company, amount, close date, pipeline, and stage to confirm both records represent the same opportunity.
2. Open the deal to keep and select **Actions → Merge**. Select the duplicate, review values and associations, then confirm.

Do not merge separate renewals or buying opportunities simply because their names match.

## What Happens After a Merge?

- **History and relationships combine:** Activities and associated records appear together on the merged record.
- **Values are consolidated:** Primary values generally take precedence; secondary values fill blanks unless selected values or special rules apply.
- **Email and domain are retained:** The primary stays primary; the secondary becomes an additional email or domain.
- **Check the result:** Review ownership, key properties, associations, workflow enrollment, and integration sync after merging.

Merges cannot be undone. For property-specific exceptions, see HubSpot’s [merge-records guidance](https://knowledge.hubspot.com/records/merge-records).

## How to Prevent Duplicates from Returning

Preventing repeat duplicates requires consistent identifiers and clear ownership at every entry point. Otherwise, the next import or integration run can recreate the problem.

### Use Reliable Identifiers in Imports

Map Email for contacts and Company domain name for companies where appropriate. Use Record ID when updating identified existing records, or a supported custom unique-value property when your business relies on an external customer or order ID.

Trim whitespace, standardize domains, and remove repeated rows before importing. Separate intended updates from new-record creation to avoid adding another copy. Follow the preparation steps in our [CRM data migration strategy guide](https://unleashtechworx.com/en/unleash-blogs/before-you-import-crm-data-migration-strategy-for-a-successful-crm-implementation).

### Understand Form Matching

HubSpot forms match contacts by email. A repeat submission can update the existing contact, while a different address can create a separate profile for the same person.

A submission using an existing contact’s secondary email can replace the primary Email value. Custom unique-value properties are not supported as form-deduplication keys. Account for these behaviors when designing forms and reviewing identity changes.

### Define Integration Matching Rules

Companies created through the API are not deduplicated by company domain alone. Review the connected app’s matching rules and use a shared unique identifier where supported.

Decide which system owns record creation and which system updates existing records. Test how the integration handles missing identifiers, retries, and changes to email or domain values before expanding the sync.

### Assign an Owner and Review Monthly

Make data-quality ownership part of your [CRM operating process](https://unleashtechworx.com/service-hubspot-crm-implementation). Give one person responsibility for duplicate review, with input from record owners where identity is unclear. Monitor suggested contact and company pairs, inspect likely duplicate deals, and review import errors and sync logs.

Keep a separate log of manual merges and the source of each recurring issue. The duplicate-manager history export has a narrower scope: it covers auto-merged records and rejected suggestions, not a complete history of every manual merge.

## When Data Hub Helps

Data Hub Professional or Enterprise adds bulk management and more configurable duplicate detection when a manual queue becomes difficult to maintain.

- **Larger suggestion queues:** Documented pair-display limits are up to 30,000 on Professional and 100,000 on Enterprise, compared with 10,000 for standard eligible duplicate management.
- **Custom detection:** Up to two rules per object, each comparing up to nine properties.
- **Duplicate alerts:** Notify the appropriate users when configured duplicate thresholds are exceeded.
- **History export:** Review supported auto-merged and rejected suggestions, rather than treating the export as a universal manual-merge log.

Winning-record merge rules and beta-dependent capabilities need their own account-level check. A rule that selects a winning record does not, by itself, mean every suggested pair will be merged automatically.

Start with the control your process needs. Larger queues and custom matching can help, but they do not make a merge reversible or replace a reliable identifier at the source.
